Destination Guru P. Ltd, operating as Destination Guru Tours & Treks, is incorporated under the Nepal Companies Act. We accept your reservation/booking under the following terms and conditions. Destination Guru Tours & Treks (hereinafter referred to as “the Company” or “we”) is a registered company (Registration No. 299861/079/080) with its office located at Kathmandu Metropolitan-32, Jadibuti, Bagmati, Nepal.

These trip booking terms and conditions constitute a legally binding contract between you (the service seeker or client) and the Company. They govern the overall operation of our trips and establish a basis of mutual trust and consent between the parties. This document outlines the services the Company provides and the obligations of the client in relation to those services for the duration of the trip.

The following terms and conditions apply to all holiday trips offered by the Company.

It is mandatory that you read these terms and conditions carefully, as they contain essential information before proceeding with the online trip booking form. By booking a trip with us, you confirm your acceptance of these terms and conditions, including the cancellation policy and limitations of liability. Both parties agree to resolve any disputes, misunderstandings, or unforeseen incidents that may arise during the course of any trip in accordance with these terms and conditions.


1. Booking a Trip

The term “Trip” used in these booking conditions refers to any product, itinerary, or activity described on this website, including but not limited to trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions, and other adventure programs offered by the Company.

A trip booking is considered confirmed once you receive an official confirmation email from the Company. From the date of this confirmation, your trip is deemed finalized and confirmed.

2. Contract Formation

A contract is formed once the Company accepts your reservation details.

This means that both parties the Company and the client enter into a legally binding agreement upon acceptance of the booking.

Prior to confirmation of your trip booking, the Company reserves the right to adjust the advertised price of any trip itinerary. Prices may be increased or decreased due to factors such as seasonal changes, supplier costs, or operational requirements.

Please note that, unless expressly stated in this document, the Company disclaims any warranties, collateral agreements, prior agreements, or descriptions of services outside of those provided in these terms and conditions.


3. Deposit Requirement

A. Nepal Trips – Deposit Payment

To secure your booking for a Nepal trip, a non-refundable deposit of 10% of the total trip cost is required within two weeks from the date of inquiry, per person.

This deposit confirms your intention to book and allows the Company to make necessary arrangements such as hotel reservations, transportation, permits, and TIMS (Trekkers’ Information Management System) card processing. Your booking will be processed once the deposit is received.

Deposit payments can be made via bank transfer or credit card (Visa, MasterCard, or American Express) with 3D Secure authentication. The Company will provide payment instructions and bank details via email after the booking is initiated.


B. Nepal Trips – Final Payment

The remaining 90% balance for trekking, tours, climbing, expeditions, or any other trip is typically due upon your arrival in Nepal, during the official briefing at our office, and prior to the trip departure date.

Final trip documentation will be released only after full payment has been received. Final payments can be made via bank transfer, cash, or credit card (Visa, MasterCard, or American Express).

A 4% surcharge will apply to all credit card payments (including withdrawals, deposit, trip extensions, final balances, and miscellaneous purchases). To avoid this surcharge, we recommend paying in cash.


C. Tibet / Bhutan Trips

For Tibet and Bhutan trips, 100% payment is required at least one month prior to the trip start date.



4. Payment Methods

After your trip request is approved and confirmed by the Company, the next step is to make the payment as specified in the booking terms outlined above. Payments can be made via bank transfer or credit card (Visa, MasterCard, or American Express) with 3D Secure authentication.

Please ensure that all payment details are entered accurately when making a transfer or payment. The Company will also send an email containing the payment instructions once the booking form is submitted on our website.


A. Payment by Credit Card (Visa or MasterCard)

To pay by credit card, select the desired trip package, complete the booking form, and pay the required advance amount as indicated in the trip details.


B. Payment via Wire/Bank Transfer

The bank details below are for the official bank account of Destination Guru Tours & Treks This account is owned and operated by the Company and is authorized for receiving trip payments.

You may also send payments via Western Union Money Transfer. Further instructions will be provided by email.

After completing the transfer, please email us the remittance slip or reference number for confirmation. If the name on the transfer differs from the booking name, please include this information in your email to help us match the payment correctly.

Please note that the Company is not responsible for any delays or losses that occur during the transfer process. If the amount received is less than the amount sent due to intermediary bank charges or other reasons, you will be required to pay the remaining balance upon arrival so that the total payment equals the trip cost.

5. Last minute booking

This is for the clients who could not book trips in advance for any reason but are eager to confirm booking trips within a short period. Destination Guru Tours & Treks has made a special booking provision with regard to the Nepal trips, your last-minute booking with 100 (%) percent trip payments 24 hrs before starting a trip is accepted. Likewise, we are always ready to operate Nepal trips anytime. For this, you could contact us for more information at 977- 9851412833 or email us. However, in the case of the Tibet and Bhutan trips, we are unable to accept the last-minute booking.

6. Cancellation policy

A. Company cancellation
In rare cases, due to unexpected events and unforeseen circumstances beyond our management and client's control, the trips can be delayed and rescheduled according to your availability.

Similarly, if conditions require cancellation of the trip, in such cases, we provide a reimbursement of the advance payment under the following conditions.

If the contributing factors that caused the cancellation of trips are religious, cultural, economic, political, social, etc. in such circumstances, local government administration may not allow for participating in specific trips. In such cases, clients can exchange to other trips with similar costs or can change the dates of the trip.

Destination Guru Tours & Treks will not take responsibility for these events.

Advice from guides or Sherpa or any local people about the condition of the weather, or condition of the trail, or anything will have to be taken seriously, as ignoring such advice may harm you or your health. The decisions taken by trek leaders will be final.

B. Trip cancellation by the Clients
If you have made full payment for any trip, you are liable to receive the refund amount in case of cancellation of the trip.

Any trip cancellation made by a client has to be disclosed mandatorily in the written notification and acknowledged by the company. Your request with the submission of the cancellation date should be received by a company. In such a case, the company reserves the right to impose certain applicable charges on your trip cancellation.

The cancellation charge herein is the representation of the total listed online website brochure trip cost based on percentage.

Please note that no refunds will be made to clients who drop out of the journey regardless of the reason after the trip has started. There is no refund on the unused amount based on the itinerary. Similarly, no refunds are applicable for unutilized facilities such as accommodation, transport, sightseeing, meals, or services..

7. Lifetime Deposit

If the Company receives an advance payment for a Nepal trip and the client subsequently cancels the trip, the advance payment will be held as a Lifetime Deposit. The client may use this deposit toward a future trip booking with the Company.


8. Trip Amendments

A trip amendment refers to a change in the itinerary that becomes necessary due to unforeseen or unavoidable circumstances during the trip. Such circumstances may include factors beyond our control, such as adverse weather, landslides, or other natural events. In such cases, the Company will provide timely guidance and make necessary adjustments to ensure client safety.

If a client requests an amendment for personal reasons, the request must be submitted to the Company in writing. The Company will review the request and may approve amendments based on availability and feasibility.

Amendment Fees:

  • Amendment request made more than 30 days before the original departure date: USD 50 per person

  • Amendment request made less than 30 days before the original departure date: fees will be the same as the cancellation charges, as third-party suppliers (hotels, guest houses, operators, airlines, etc.) may have already been paid in advance.


9. Trip Cancellation by the Company

The Company reserves the right to cancel any booked trip for justified reasons, particularly those beyond our control. This may include circumstances such as natural disasters, flight cancellations, strikes, wars, sickness, quarantine, government intervention, severe weather conditions, or other unforeseen events that affect safety or feasibility.

In such cases, the Company will provide a refund of 50% of the trip booking price, as a portion of the funds may already have been paid to third-party suppliers for transportation, accommodation, and other services.

Please note that minor changes to flights or itineraries (such as changes in airline carrier, flight schedules, cabin category, or hotel accommodation) may occur without constituting a cancellation, provided the departure and arrival dates remain unchanged and the replacement options are of a similar standard.

The Company is not liable for any incidental expenses, losses, or damages incurred due to trip cancellations or changes. This includes, but is not limited to, expenses related to visa issues, vaccinations, non-refundable flights or train tickets, car parking fees, loss of earnings, and other personal costs.


10. Medical Conditions and Special Requirements

Clients must notify the Company in writing of any medical conditions or special requirements at the time of booking. This includes any mental or physical condition that may affect the client’s ability to participate safely in the trip. Failure to disclose such information may result in the client being denied participation, with no refund provided.

Clients should also consider factors such as age, pregnancy, or other conditions that may affect mobility or fitness for trekking and adventure activities. The Company may recommend a more suitable trip based on these considerations.

The Company is not obligated to provide special facilities unless agreed to in writing. While we will make reasonable efforts to accommodate special requests (including dietary needs), these requests do not form part of the contract and the Company is not liable for any inability to fulfill them.

Medical facilities and standards may vary by country. The Company makes no representations or warranties regarding the availability or standard of medical treatment in destination countries.

11. Travel Insurance

Trips in remote Himalayan regions inherently carry risks such as adverse weather, landslides, floods, and other hazards beyond our control, which may result in serious injury or death. While we take all reasonable measures to minimize these risks, the possibility of accidents cannot be fully eliminated.

Therefore, travel insurance is mandatory for all travelers undertaking trips in the Himalayas. Your insurance policy must be valid for the full duration of the trip and include adequate coverage for rescue and evacuation.

Your insurance must cover:

  • Accidents and injury

  • Death-related expenses

  • Illness and medical treatment (including pre-existing conditions where applicable)

  • Emergency evacuation and repatriation (including helicopter rescue and air ambulance where applicable)

  • Personal liability

We also strongly recommend coverage for trip cancellation, curtailment, and loss of luggage or personal belongings.

You must carry proof of insurance at all times and provide it when requested by the Company. If you fail to provide valid proof of insurance when requested, the Company reserves the right to cancel or suspend your participation in the trip or any part of the itinerary, at any time, including after the trip has commenced, without entitlement to a refund.


12. Flight Delays and Changes to Itinerary

Mountain adventures are unpredictable, and domestic flights in mountainous regions may be delayed due to adverse weather conditions.

In the event of flight delays during departure or return, the client is responsible for all additional expenses, including accommodation and meals. If you choose to arrange alternative transportation (e.g., helicopter flights) to avoid delays, all associated costs will be your responsibility.

The Company is not responsible for costs incurred due to missed international flights, although we will assist in making alternative arrangements wherever possible.

Please note that itinerary changes may be necessary during the trip due to unforeseen circumstances beyond our control. We will make every effort to adhere to the planned itinerary as closely as possible.


13. Documents and Paperwork

Clients must carry all required documents and present them upon request by the Company. You may also be required to provide scanned copies of documents for flight and accommodation reservations during the booking process.

The Company is not responsible for any trip delays or cancellations resulting from incomplete or missing documentation provided by the client.


14. Visa and Passport

Clients must possess a valid passport and obtain the necessary visas for travel. Your passport must be valid for at least six months beyond the trip end date.

It is your responsibility to ensure you have the correct visas for all countries included in your trip. The Company is not responsible for refusal of entry due to incorrect or missing visa documentation.

For most nationalities, a Nepal visa is available on arrival. For Tibet and Bhutan, the Company can assist with necessary arrangements upon request. For travel to India, clients must obtain the required visa from their home country.


15. Injuries and Evacuation

The Company is not liable for any injury, illness, emotional distress, or other health conditions experienced by clients during the trip. Personal insurance is not included in the package cost.

We strongly recommend clients obtain comprehensive insurance coverage, including medical emergencies and emergency evacuation by helicopter if necessary.


16. Missed or Unused Services

No refunds or discounts will be provided for missed or unused services, including cases of voluntary or involuntary termination or early departure from the trip (e.g., due to illness, death of a family member, late arrival, or other reasons). This policy applies regardless of whether the reason is within or outside your control.

17. Health & Fitness

Trekking in remote Himalayan regions requires a reasonable level of physical fitness. We recommend that you consult a doctor before deciding to travel to Nepal. You must inform the Company of any pre-existing medical condition or disability that may reasonably be expected to increase the likelihood of requiring medical attention or affect your ability to participate in the trip.


18. Children

All travelers under the age of sixteen must be accompanied by a legal guardian. Additional information regarding age restrictions and suitability will be provided via email correspondence.


19. Discount Provisions

The Company may offer special discounts during holiday seasons and off-peak periods for selected products. These offers are valid for a limited time and are only applicable if the booking is made within the specified promotional period. Offers are not valid for bookings made before or after the promotion period.

A. Group Discount

The Company offers a 10% discount per person on the brochure price for groups of six (6) or more members. The Company operates trips for groups of any size, including individuals, but groups of fewer than six members are not eligible for this discount.

B. School / College Groups

The Company offers special discounted rates for school and college groups who wish to volunteer in remote Nepali communities. These discounted rates are offered at the time of booking to promote community welfare.

C. Business-to-Business (B2B) Rates

The Company also provides services for international agencies and organizations seeking to coordinate trips to Nepal. Special rates may be offered to such organizations based on the nature of the partnership and trip requirements.


20. Holiday Changes

Traveling with the Company requires flexibility and understanding. Occasionally, modes of transport, accommodation, or itinerary may change without prior notice due to local circumstances such as flight delays, cancellations, unfavorable weather, landslides, road blockages, floods, snow, political unrest, or delayed arrival.

In such cases, the Company is unable to provide refunds due to prior commitments with suppliers. Instead, the Company will provide an alternative trip or substitute services of the same category wherever possible.

The Company is not responsible for any loss of employment, additional expenses, delays, or compensation claims resulting from trip changes or cancellations.


21. Supplement Charges

All holiday trip packages, hotel rooms, and tents are based on twin-sharing accommodation. If a client does not have a suitable roommate for sharing, a single room supplement will be charged.

22. Risk & Responsibility

Your safety and enjoyment are our top priorities. We will not compromise your safety under any circumstances. Our team is committed to ensuring that your trip is well-coordinated, professionally managed, and as hassle-free as possible.

All trips are conducted in accordance with the laws, rules, and regulations of the Government of Nepal. However, due to the unpredictable nature of mountain travel, trips may be affected by circumstances beyond our control, such as government restrictions, landslides, road blockages, political strikes, flight cancellations, delays, sickness, or accidents.

In such cases, the Company and its partners will not be held responsible for changes to the itinerary. Clients are responsible for covering any additional costs incurred as a result of such events.


23. Trip Duration Changes

If a trip concludes earlier than the scheduled duration as outlined in the trip package, no refunds will be provided. Conversely, if the trip extends beyond the scheduled duration, the client will be responsible for covering any additional costs incurred.


24. Responsible Tourism Policy

Destination Guru Tours & Treks is committed to responsible tourism that benefits local communities, the environment, the government, and the broader tourism industry. Before booking, clients are encouraged to review our Responsible Tourism Policy.

We expect all travelers to follow our guidelines and policies to ensure a positive impact on local communities and the environment.


25. Impact on the Journey

We strive to make your trip comfortable, exciting, and memorable. However, travelers should be aware that Himalayan countries may not offer the same level of facilities and infrastructure as those found in more developed regions. We ask for your understanding and flexibility during your journey.


26. Personal Belongings

Our crew will take reasonable care of your luggage during transportation. However, the Company is not responsible for any loss or damage to personal belongings carried by porters, ponies, or vehicles.

We strongly recommend that you purchase comprehensive travel insurance to cover such risks.


27. Dispute Settlement

Any disputes arising from these Terms and Conditions will be resolved in the courts of Kathmandu, Bagmati Province, Nepal, in accordance with the laws of Nepal.


28. Compensation

In the event that the Company is required to pay compensation, the total amount payable will not exceed the total amount paid by the client to the Company.


29. Enforceability of Terms

If any provision of these Terms and Conditions is found to be invalid or unenforceable under applicable law, that provision will be deemed void. The remaining provisions will continue to be valid and enforceable.


30. Publicity

The Company may use photographs or images taken by clients during trips for promotional and marketing purposes without prior notice or compensation.

By booking with us, you grant the Company permission to use such images. If you prefer that your images not be used for publicity, please notify us in writing, and we will honor your request.


31. Privacy

To process your booking, we may request certain personal information. We will not use your personal information for any purpose other than those related to your booking and the provision of services.


32. Updating Terms and Conditions

The Company reserves the right to update or amend these Terms and Conditions at any time. It is the responsibility of the client to review and stay informed of any changes.

The current version of the Terms and Conditions will always be available on our website www.dgtrek.com and will govern any disputes arising from bookings made through the Company.
