Terms and Conditions

Terms & conditions serve to legally bind both (Destination Guru) Us and you, the client. Before you make travel arrangements, you should review the terms and conditions as they include information about the company’s policies and value system.

This aids in the future legal settlement of any disputes that may arise. Thus, in a way, terms and conditions aid in building a positive rapport between us and you. The terms and conditions that you should be aware of are as follows:

Contract:

Once the trip payment has been made, you will receive a formal confirmation letter. Here, a contract is established.

However, it becomes your duty to carefully review it and ensure that the information matches the information on your passport. Please let us know if there are any mistakes or omissions.

It becomes your duty to ensure that the other participants have given their full consent for the contract if you are making reservations on their behalf. If there are any changes to the contract, the company will attempt to get in touch with you.

Every payment that is due will be your responsibility. It is also expected that you review the confirmation letter to make sure all the information is accurate and comprehensive. This is a crucial stage since, once the entire booking process is over, the organization cannot be held accountable for mistakes or omissions.

When the company and client will be responsible for their acts?
  • When we provide you with a confirmation email, the contract becomes operative.
  • Reservations are accepted for those mentioned trips (hike, tour, peak climbing). Booking entails purchasing the entire trip package, which includes the itinerary, lodging, food, and activities. When a journey ends, you’ll know what it’s like to purchase a travel experience.
  • Only the services that are listed on our official website and pages will fall under our responsibility. Nothing more. If you have any questions in this regard, you can speak with us directly.
Regarding deposits:

There is a fixed amount that you need to deposit while booking a trip. The amount is non-refundable in all the itinerary packages

At the time of booking:

To secure your place and to process the confirmation of your booking for the Nepal trip, a non-refundable 10 (%) percent down payment of the total trip cost is required as an advance deposit to the company within two weeks from the date of inquiry in accordance with the company policy as a per-person basis. It is proof that you are intending to planning a trip. Generally, we need advance payments from your behalf for fixing prior arrangements of hotel reservations, flight tickets, transportation tickets, permits, Trekkers’ Information Management Systems (TIMS) card, etc. Your service arrangements are managed as soon as the advance is received. The booking deposit is acceptable both through the bank transfer and/or by Card authentication and 3D Secure credit card, (Visa or Master Card or American Express card). The company communicates via email for additional information regarding the direct money deposit details while proceeding with the booking.

Balance Payment:

Final remaining 90 (%) percent balance payments for trekking, tours, climbing, expedition, or any kind of trip can generally be made upon your arrival in Nepal (during the official briefing time in our office) prior to the initial trip departure date. Final trip documentation will be released upon full trip payment. Your final payment is accepted by the bank transfer, cash, or credit card,(Visa or Mastercard or American Express Card). 4 (%) percent surcharges will be added while making your payment (This is applicable for withdrawal and deposit with the objective of trip extension, final balances as well as miscellaneous purchase). However, to avoid the bank charge, we highly recommend making payment in cash as a surcharge is imposed by a credit card payment service provider.

Exception:If there are any unexpected and unavoidable circumstances, you can have a lifetime deposit. This is only possible in the case of an emergency. You will have to provide us the proof i.e precriptions (medical) if you are sick.

The person whose name is used while booking only gets it. You can have the same travel package in future. However, if there are any price changes( increment), you will have to add them. We also can’t exchange it for any other pricey package.

Payment:

You can pay the booking charge online. All debit and credit cards can be used. You can also visit our office for the payment.

If you have already paid the whole amount, there is no provision for discount or price reduction. There can be changes to the prices due to an increment in airfare, fuel charges, and operational charges. You will have to pay for covering the increment if you haven’t paid the full amount during the bookings.

There can also be price reductions due to local charge cuts and cancellation of any day programs during the trip. You will only have to pay the amount deducting a certain percentage if you haven’t paid the balance amount.

Cancellation:
By Client:

You will have to inform us about the reasons for the cancellation of the trip with valid proof. We will study and analyze the situation and think about the percentage cuts:

  • If you cancel before 30 days of the final departure, you will only lose 20% non-refundable cost.
  • If you cancel between 7-29 days prior the departure, 50% of the service charge is booked.
  • If you don’t inform us about anything and don’t appear on the trip at all, 100% cost is cut.
  • You can have a life deposit in the case as mentioned in clause 3 ( exception)
  • There is no any refund for not usage of services in accommodation or meals
By the company(Us):
  • The company has the right to cancel the trip before the contract comes into existence
  • You will get a refund in the case the company has canceled the trip due to lockdowns, natural calamities, unavoidable situations like war, weather conditions, riots, etc.
Medical Requirements:

If you have any special medical conditions, you will have to inform us during the bookings. A person with any mental problems doing the contract makes it void from the legal point of view. So, if we get to know that after you have paid for the trip, you may lose the whole money.

There are some difficult hikes and treks that can be harmful to Asthma patients, people of certain age, pregnant or child. You, as a client should mention this in the form at the very beginning.

We will arrange the medications and facilities as per your concern and demand. You need to write it loud and clear.

Amendments:

You will have to understand that Himalayan tours are difficult. You may have to settle in Farmhouse, resort, or teahouses. The region can’t serve you with the best luxury, but we will make sure that thenservices and foods are hygienic and safe.

If there are any domestic flight delays, you will be taken care of properly. You can take you to a nearby eatery or any places to visit.

The daytime outdoor activities can be changed in the case the weather unpredictably changes. The client himself/herself is responsible for the international flight delay.

Necessary Documents:

You need to carry a valid Visa and passport. Make sure that you confirm all the necessary visa requirements.We can arrange Bhutan and Tibet Visa for you if you send us a color scanned copy of your passport and a passport-sized photo.

We, as a company will not be responsible for the refusal of your entrance due to invalid visa or unfulfillment of requirements in documentation.

Insurance:

Our company isn’t liable for any personal insurance issues or expenses. We strongly suggest you have a travel insurance package covering accidents, cancellation, luggage loss, curtailment, medical fees, etc.

Amendment to terms and conditions:

The company reserves all rights to change the terms and conditions mentioned above. Keep yourself updated from time to time!

Photography Rights:

The company reserves all the rights to take photographs of the clients during the trip( with consent ofcourse). The pictures can be used by the company in brochures and websites for promotional purposes.

Your comments or reviews will also be reserved by the company for future usage.
